Dynamic QR Codes for Cafe Menus: Print Once, Update Anytime

A dynamic QR code for a cafe menu next to the title

Prices change. Seasonal drinks come and go. The menu PDF gets a new file name. If the QR code on your tables points straight at that file, every change means new stickers, new table tents and an afternoon of peeling. A dynamic QR code fixes that: you print it once, and you change where it goes whenever you need.

Static vs. dynamic QR codes

A static QR code stores the final address inside the pattern itself. Change the address and you need a new code, which means a new print.

A dynamic QR code stores a short link instead, such as erago.site/menu-kopi. The pattern only ever points at that short link. You decide where the short link sends people, and you can change that destination at any time. The printed code never changes, because the slug (the menu-kopi part) stays the same.

The rule is simple: keep the slug, change the destination.

Why it matters for cafes, restaurants and shops

  • Menu and price updates. Upload the new menu, point the link at it, done. The table tents stay put.
  • Seasonal and daily specials. Send the same QR to a weekend brunch menu on Saturday and the regular menu on Monday.
  • Moving platforms. Switching from a PDF to an online ordering page or a Google Maps review link? Change the destination, not the print.
  • Fixing mistakes. A typo in the link after 200 stickers are printed is no longer a disaster.
  • Retail shelves and packaging. A small shop can put one QR on a shelf label or a bag and point it at this month's catalog, a WhatsApp order link or a promo page.

How to set it up on ERAGO

1. Create a free account

Changeable links and QR codes live in your account, so you need one to make them. A free account is enough.

Pick a slug you'll want to keep for years, like menu, menu-kopi or katalog. Avoid dates or seasons in the slug (menu-oct), because the whole point is that it never changes. Set the destination to your current menu.

3. Design the QR code

Add your logo and brand colors, and keep the modules dark on a light background so it scans easily. Download SVG for print. Need sizing help? See how big a QR code should be for print.

4. Test, then print

Scan with two different phones from where a customer actually sits. Then print table tents, stickers or the counter sign.

5. Update the destination whenever you need

New menu? Open the link, change the destination, save. Every printed code now opens the new page. Don't edit the slug itself, or the printed codes will stop matching.

Example: one QR, three menus

This is a fictional example. A small coffee shop prints erago.site/menu-kopi on every table. In October it points to the regular menu PDF. For a two-week Halloween special, the owner switches it to a seasonal drinks page, then switches it back. When they launch online ordering in December, the same QR goes to the ordering page. Zero reprints.

Use your own domain

A QR that reads menu.yourcafe.com looks more trustworthy than a generic address. The Free plan includes 1 custom domain, so a single-location cafe can brand its links at no cost. Pro adds unlimited custom domains for businesses with several brands or outlets.

When Pro is worth it

Free covers the core job: print once, update anytime. Pro, at $5/month plus tax where applicable, adds full analytics (see how many people scan, and when), Open Graph share cards so your links look good when shared in chats and social posts, unlimited custom domains and unlimited links.
